Changes to our Privacy Policy
We keep our privacy policy under regular review and as such it may be updated from time to time so you should check it each time you submit personal information to us. The date of the most recent revisions will appear on this page. If you do not agree to these changes, please do not continue to use this website to submit personal information to us.
Data Retention Policy
Helen Maguire and her Office collect and process personal data from constituents and members of the public which can include emails, letters, images and phone records in electronic and hard copy format.
The UK Data Protection Act 2018 (UK DPA) and the UK General Data Protection Regulation (UK GDPR) requires that data subjects are informed of how their data will be used, and how long their data will be retained for. These are known as data retention periods.
Data Controllers should retain personal data no longer than necessary and process data with the key principles of storage limitation and data minimisation in mind. This policy and schedule details how long Helen Maguire, as the Data Controller, will process personal data.
General
In accordance with the UK General Data Protection Regulation (UK GDPR), any personal data you provide will be processed lawfully, fairly, and transparently. We retain personal data for as long as Helen Maguire serves as the Member of Parliament for Epsom & Ewell, in line with the lawful basis of public task under Article 6 (1)(e) of the UK GDPR.

Special Category data - The UK GDPR defines Special Categories of Data, specifically, racial or ethnic origin, political opinions, religious or philosophical beliefs, or trade union membership, and the processing of genetic data, biometric data for the purpose of uniquely identifying a person, data concerning health or data concerning a natural person’s sex life or sexual orientation.
The process of Data Deletion / Destruction
Decisions will be taken at the point of documents reaching their retention date. A review will be made prior to the deletion / destruction of the document. Where there are hard copy documents, these will be disposed of securely.
Data Protection Complaints
Helen Maguire and the her Office has a formal procedure for handling data protection complaints. Individuals who have concerns about how their personal data has been processed should raise their complaint with the Office in the first instance, using the contact details provided in the Privacy Notice.
Helen Maguire MP and her Office will:
• provide a clear process for making a complaint
• acknowledge receipt of the complaint within 30 days
• investigate the complaint promptly, making appropriate enquiries where necessary
and keeping the complainant informed
• communicate the outcome of the complaint without undue delay
Where a complainant remains dissatisfied after the organisation has completed its complaints process, they may refer the matter to the Information Commissioner's Office (ICO)
